Quotes and Bookings

BOOKINGS AT YOUR FINGERTIPS!

This screen facilitates the entry of quotes and their acceptance to confirmed bookings. Quotes remain in the system and can be purged after some time has elapsed. Quotes and bookings have separate numbers and once a booking is made, packing slips are generated automatically for the dispatch department. Searching for quotes and clients may be specified by any number of main fields and the addition of new clients is extremely simple.

The invoice amount and other amounts on the quote are calculated automatically after any changes to the quote. Packing Slips, Invoices, COD Picking Slips can be automatically faxed to clients. The system allows the user to produce quotes whilst talking to clients over the phone! We have bench marked this system to less than one - second calculation of stock levels with twenty simultaneous operators.


SIMPLE ITEMS SCREEN

Quick selection of items required!

The WinHire system allows choices from literally hundreds of items. Each item is carefully placed in its respective area enabling easy selection. This screen for example, illustrates where users spend most of their time, adding the details of a new hiring transactions and the items that will be hired. Stock levels of selected items appear during the period in which hiring is required, giving an indication of availability. Once each individual item is selected, automatic tools are identified.

This system is so flexible that for instance, each screen enables the user to make ad hoc changes to the unit price for any item per quote



SIMPLE ITEMS WITH ATTRIBUTES

Targeting your needs!

This system allows navigation of hiring forms with ease. The colorful screen designs and the clear, concise key words are the building blocks to help guide you through the hiring process.

This screen enables selection of simple items that may have attributes such as color, size or type. Stock levels are given for each combination of attributes. Once the selection process is completed, the list of sizes can be viewed with just a click of a button! Each screen is customized according to the level of input and output required. This screen is more customized than the furniture screen and BelSoft tailor hiring screens to any customer requirements.


MISCELLANEOUS SCREEN

This screen applies to all divisions and can be used to hire miscellaneous items. So if we don't have it listed we can still put it in. This form is so flexible that the user is able to individually enter the description and unit price for each item.

No stock calculations are performed on this screen and non - returned items are costed individually on the returns screen.

DESIGNER FORM

Your invaluable input.

The hiring form Designer allows for quick and easy creation of forms. The stock level unit price and replacement cost of any item is entered into the system and a picture of the item may be entered which is shown when the hiring item is selected on the hiring form.

The pictures being optional are only shown where entered and are automatically shuffled out of the way of entry of hiring information.

DIMENSIONS SCREEN

Here the user can enter items which have dimensions in either imperial or metric units. The unit price is based on square units as entered on the form design screen. A separate area is used to display hiring items selected, illustrating the various sizes of each item selected and a total hiring cost for all dimensioned items.

If imperial units are entered, the metric entries are erased and vice versa. The extension and stock are calculated in units entered.

RETURNS SCREEN

Ensure everything is returned and restocked!

Returns are recorded in this screen together with any breakages or non - returns. The difference in quantity and quantity returned are invoiced at replacement cost specified on the form designer.

By typing in the booking number, information about the quote is retrieved. Invoices are then produced by the accounts department and sent to the client. This screen interfaces your Accounting system by way of downloading information that handles the reconciliation of invoices.



Reports Screen

The report screen enables the user to tap into information such as resource management, sales management or administrative data just to name a few. All reports can be previewed on screen or printed if necessary. Within this screen are report parameters which allow the user to identify a certain time frame, salesperson, item, special event or division by which the report is to be based. These reports offer up to date information on a variety of issues.

Other Modules: Time Clock System

A time clock system for employees to clock on / off their work periods. At the end of each pay period, the system calculates the number hours worked including time and half, double time according to current award conditions. The payroll is downloaded into the accounting system in use automatically. A facility to predict the number of double and time and a half hours an employee will work in a pay period given their current hours worked. This allows management to minimize the amount of overtime for the remaining pay period.
